Golf System Cloud

Overview

The Tee On Golf Management System is a robust enterprise tool designed for golf clubs and multi-course operators. It enables seamless day to day operations across tee time bookings, member and guest check-ins, clubhouse sales, tournament planning, and resource management. Through this redesign initiative, we aimed to optimize usability, streamline workflows for staff, and deliver a consistent experience across desktop and tablet views.

Results

Reduced average booking time, enabling pro shop staff to process more players during peak times with less stress.

Minimized booking errors, especially around green fee types and cart assignments, helping staff avoid manual corrections and improving accuracy at check-in.

Replaced outdated cart-tracking methods with a real-time digital inventory view, giving course managers better visibility and control over cart usage and availability.

Cut down POS order time through an optimized register layout, allowing clubhouse staff to serve guests faster and reduce wait times.

User centered approach

Collaborative On-Site Research

Visited golf facilities to observe staff behavior and interview admins, clubhouse workers, and course managers.

Task-Based Testing

Ran usability tests with real booking flows (tee sheet to check-in to register) to eliminate friction points.

Information Architecture Overhaul

Created modular navigation and flexible views tailored to different facility roles.

Accessible and Scalable Design System

Built a consistent component library (buttons, inputs, tiles, toggles, modals) for speed and maintainability.

Challenge

Golf course operations span multiple departments, clubhouse staff manage orders and reservations, pro shop handles equipment, bookings and check-ins, while back-office staff monitor leagues, inventory, and sales reports. Previous systems lacked cohesion, with isolated workflows and inconsistent interfaces. Staff often switched between tools, relied on paper for cart management, or manually input league stats, resulting in inefficiencies, errors, and long queues during busy hours.

Solution

The solution focused on designing a unified, modular platform that adapts to the diverse needs of golf course operations. We implemented a responsive interface that scaled across desktop terminals and tablets, enabling flexibility whether staff were behind the counter or on the course. By introducing role-based permissions, course owners gained more control over access to sensitive operations like financial reporting and inventory adjustments. We centralized the customer profile experience, allowing staff to quickly view booking history, apply rain checks, and manage memberships without navigating away. For league and tournament admins, we built an end-to-end toolset to manage rosters, publish leaderboards, and communicate with participants in one place. Across all modules, we emphasized visual clarity, inline feedback, and minimal input friction, ensuring that even seasonal or part-time staff could learn and use the system with confidence.
